Step 6: Iterative Feedback
Regularly soliciting and recording feedback is critical for iterative refinement. A project without a feedback loop is a project flying blind. Recording the feedback item, source, associated requirement, iteration/date, AI summary, action taken, and status creates an audit trail that helps teams understand decisions and ensures feedback is not lost.
Tracking Feedback Effectively
A good feedback process involves more than just asking "What do you think?". It requires a systematic way to capture and act on input, ensuring the final product aligns with what users and stakeholders actually need, not just what was initially assumed.
Feedback Item & Source
Log each piece of feedback as a distinct item with a clear summary. Crucially, always record the source—the person or team who gave the feedback (e.g., 'Jane Doe', 'Alpha Testers'). This provides context and allows for follow-up questions.

Associated Requirement
Link the feedback to the specific module or feature ID it relates to. This keeps the feedback organized and ensures it is considered in the right context when decisions are being made, rather than being lost in a random document.

Iteration/Date
Note when the feedback was received (e.g., 'Sprint 3 Demo', '2024-08-15'). This helps track the evolution of the scope and understand why certain decisions were made at a particular point in the project's lifecycle.

AI Summary
For long feedback threads from emails, Slack, or meeting notes, use the AI assistant to generate a condensed, actionable summary. This saves time and makes it easier to grasp the key points and sentiment quickly without reading through pages of text.

Action Taken & Status
This is the most critical part of closing the loop. For every piece of feedback, document the action taken: Was it 'Accepted' and the requirement modified? Was it 'Considered but Dismissed', and why? Then, update the status from 'Open' to 'Resolved'. This shows stakeholders that their input was valued and considered, even if not every suggestion was implemented.

Key Artifacts
This module produces a clear audit trail of the project's evolution, ensuring transparency and providing valuable insights for future planning.
- Change Log Timeline: A chronological record of all feedback received, the source, the AI summary, and the action taken. This document is invaluable for retrospectives and understanding the project's journey.
- Feedback Analysis Report: An AI-generated summary of feedback trends, highlighting recurring themes, key stakeholder concerns, and areas of the scope that receive the most comments.
